Meeting Polls are built directly into the KanriFlow project calendar. The coordinator proposes a few times, partners mark when they are free, and the chosen slot becomes a calendar event in one click - no reply-all threads, no third-party scheduling tools and no time-zone arithmetic.
Consortia span five to ten countries and at least two time zones. Scheduling by email means options converted by hand, reply-all threads, a spreadsheet of answers, reminders and a second round - dozens of messages and several working days per meeting.
1. Create the poll: title, description, meeting link, Work Packages and time slots, each shown in Kyiv time and CET/CEST. The voting deadline is set 24 hours before the earliest slot. 2. Share one link, or invite every partner contact of the selected Work Packages after previewing the email. 3. Partners respond with an account or as guests; every slot starts as Yes and the strongest option is marked. 4. Confirm the chosen slot and the meeting appears in the project calendar with all its details.
For a WP3 Pilot Design Workshop with seven participants and six proposed slots, Thursday 5 November 10:00-11:30 Kyiv (09:00-10:30 CET) suited all seven; the next best slot had five. One click on Confirm put the workshop in the calendar.
By our illustrative estimate, one meeting with eight participants takes 22 minutes of combined team time with a poll instead of about 140 minutes by email - roughly eight hours a month and more than 90 hours a year at four meetings a month.
