Every coordinator knows the number by heart: 60 days after the end of a reporting period to submit the periodic report through the Funding & Tenders Portal. On paper it looks like a comfortable buffer. In practice, those two months become the most stressful stretch of the entire project, and deadlines are rarely missed because of a single catastrophic event - they are missed through an accumulation of systemic weak spots.
Treating reporting as a final event rather than a continuous process turns the last 60 days into an avalanche of scattered Excel files in conflicting versions. By the time data arrives, the coordinator has lost all leverage to rebalance effort or steer budget consumption.
The report is submitted only when the last beneficiary signs. A single silent partner blocks an entire consortium of 15-20 organisations - and newcomers and SMEs with limited admin capacity are the most vulnerable group.
Personnel costs are a minefield: hourly rate errors, sloppy timesheets, social-security reimbursements, HR misalignment. Every rejection of a signed statement starts a new cycle, and the Certificate on Financial Statements adds an external dependency that is easy to underestimate.
The narrative Part B is left "for later" and arrives as mismatched fragments from many WP leaders. The biggest time sink is not describing successes but reconstructing and justifying deviations from the Description of Action.
